Privacy policy.

Fascia · Systems & Automation is operated by Matthew Robinson on the Sunshine Coast, Queensland, Australia, ABN 72 851 358 905. This policy explains how we handle personal information through this website and Fascia Outreach, our internal business correspondence tool.

Information we collect.

When you contact us, we receive your name, email address, message and any phone number or business details you choose to provide. We use this information to answer your enquiry and discuss or deliver our services. Our contact form sends your enquiry to Matthew by email.

We also keep business contact details, correspondence and records of work. These may come from you, someone authorised to act for your business, or public business sources. Website hosting services may record technical information such as an IP address, browser information and the pages requested for operation and security.

Fascia Outreach and Google access.

Fascia Outreach helps authorised Fascia staff manage business contacts, review outgoing email and track replies. It connects only to Google accounts whose account holders authorise access. Visiting this website or receiving an email from Fascia does not give the app access to your Google account.

For connected accounts, the app can read email addresses, message headers, subjects, message bodies and thread identifiers. It uses that information to identify business correspondence, record replies and delivery failures, and stop follow-ups when someone replies or asks not to be contacted. It sends approved messages from the connected outreach mailbox and checks sent messages to confirm delivery to Gmail.

The app stores relevant correspondence and contact records, message identifiers and the authorisation tokens needed to maintain the connection. Google handles the account sign-in; Fascia does not receive your Google password. Stored outreach refresh tokens are encrypted.

Fascia uses information received through Google APIs in accordance with the Google API Services User Data Policy and the Google Workspace API User Data and Developer Policy, including their Limited Use requirements.

How we use and share information.

We use information to manage enquiries, prepare and deliver work, maintain business correspondence and protect our systems. Access is limited to people authorised to do that work and service providers needed to operate it.

Our website is hosted by Vercel, website enquiries are delivered through Resend, and business email is handled through Google Workspace. The outreach app uses hosted database services to hold contact and correspondence records. These providers may process information outside Australia, including in the United States, under their own applicable terms.

AI assistance may be used to research businesses and prepare draft correspondence using relevant business context. Any use of Google account information for these features is limited to the authorised correspondence task. We do not use Google account information to train general purpose AI models, build advertising profiles or sell it to data brokers.

We may disclose information when required by law or when needed to investigate abuse and protect legal rights. We do not sell personal information.

Storage and retention.

We restrict access to business systems and use secure connections where information is transmitted. No online service can guarantee absolute security.

We retain information while it is needed for the purpose it was collected, our business relationship, or applicable record keeping obligations. You can request deletion of information we hold about you. Some records may need to remain for legal obligations or to record that you asked not to be contacted; we will explain any such limits when responding to a request.

Your choices.

You can ask us to stop business outreach by replying to an email or contacting Matthew. We keep the minimum suppression information needed to respect that request.

If you connected a Google account, you can revoke access through your Google Account connections. Revoking access stops future access through that connection. It does not automatically erase correspondence already recorded, so contact us if you also want stored information deleted.

To request access, correction or deletion, or to raise a privacy concern, email matthew@fasciasystems.com.au. We may need to confirm your identity before releasing or changing information. We will consider your request and explain the outcome. If a concern remains unresolved, you can contact the Office of the Australian Information Commissioner for information about available complaint options.

Changes to this policy.

We will update this page when our practices change and show the effective date above. Where a change requires renewed permission for Google account access, we will seek that permission.
